AutoBook (the "Company", "we", "us") provides businesses with booking software that answers their clients and manages appointments through a chat link. This policy describes what data is collected, how it is used, with whom it is shared, how long it is kept, and your rights.
1. Who is responsible for the information
- For information provided in a conversation with a particular business, that business owns the information and is responsible for it (the "controller"). The Company acts as a processor on the business's behalf, solely to provide the software.
- For information about the business owners who subscribe to AutoBook, the Company is responsible for the information.
2. Information we collect
- The content of chat conversations and the time of each conversation.
- Details provided to book, cancel or change an appointment: name, phone number, requested service and appointment time.
- Summaries and statistics derived from conversations, such as the topic and the outcome.
- Basic technical information (such as IP address and browser type), processed by our infrastructure providers for security and operation.
- For business owners: name, business name, phone, email address and the business details needed to configure the software.
3. How we use information
- To answer client inquiries based on the information provided by the business.
- To book, cancel and change appointments in the business's calendar.
- To make conversation records, summaries and statistics available to the business.
- To operate, secure, support and improve the software, and to comply with applicable law.
- We do not sell personal information and do not use it for advertising.
4. Service providers and sharing
- We rely on third-party providers, including Google (AI models for generating replies and summaries, Google Sheets, Google Calendar and Gmail) and Cloudflare (hosting).
- These providers process information under their own terms and may store it outside your country.
- Information is shared with the business the conversation took place with. Beyond that, it is not disclosed to third parties unless required by law or to protect the Company's rights.
5. Access to information
Access to conversation records is limited to the business the conversation took place with and to the Company, solely for operation, support, security and improvement. A business cannot access another business's information.
6. Data retention
- Conversation content and summaries are kept for up to 12 months and are then deleted automatically.
- Appointment details are kept as long as the business needs them, and are deleted at the business's request or within 30 days after the subscription ends.
- Information about business owners is kept for the duration of the subscription and afterwards as required for accounting and legal compliance.
7. Your rights
You may request to access, correct or delete information stored about you by contacting the business you chatted with, or us at autobookai.team@gmail.com. Requests are handled within 30 days.
8. Security
We take reasonable measures to protect information against unauthorized access, use or disclosure. No online system is completely secure, and we cannot guarantee absolute security.
9. Sensitive information
Please don't share medical, financial or other sensitive information in the chat beyond what is needed to book an appointment.
10. Children
AutoBook is not intended for children under 16, and we do not knowingly collect information about them.
11. Changes to this policy
We may update this policy from time to time. The current version is the one published on this page.
